When your servers need professional support
- You learn a server is down from customers or accounting, not from a monitoring system
- Your ERP, CRM or database slows down exactly when the whole office is working, and nobody knows why
- Updates go in "whenever someone remembers", and some servers haven't had a security patch in years
- Backups supposedly exist, but nobody has ever checked that you can actually restore from them
- Every password and setting lives in one person's head, and without them the infrastructure is a black box
- Nights and weekends go unwatched: any failure waits until Monday morning
- Disks fill up without warning, and hardware replacement only comes up once something has already failed
- Your in-house admin is buried in user requests and simply has no time left for the servers
What server technical support includes
Proactive 24/7 monitoring
- 50+ metrics from every server: availability, CPU, memory, disk usage and queue, network, service response time
- Hardware health: disk SMART data, RAID array, power supplies, temperature, fans, controller battery
- Operating system: event logs, stopped services, page file growth, log volume space
- Application services: databases, web and mail services, file shares, queues, SSL certificate expiry
- Two alert levels: a warning becomes a ticket, an outage wakes the on-call engineer at any hour
- We act on the trend, not the outage: we see a disk will fill in three days and extend it in advance
Windows Server and Linux administration
- Deploying and configuring servers for your business: domain, file services, ERP, databases, web applications
- OS updates and security patches in an agreed window, tested in a staging environment first
- Active Directory and group policies: single sign-on for staff, control over access and shared resources
- Least-privilege accounts: provisioning, blocking, multi-factor sign-in for administrators
- Database maintenance: backups, growth control, slow queries and indexes, scheduled upkeep
- Automating routine work: scheduled operations, standard configurations, checks without manual effort
Virtualization and cloud servers
- Maintaining virtualization platforms and updating hypervisors without stopping services
- New virtual machines from a standard template: a server is ready in an hour, not a day
- Capacity planning: each machine gets the cores and memory it actually needs
- High availability: if a physical host fails, its machines come back up on a neighbouring one
- Migrating from physical to virtual, between hypervisors and to the cloud with minimal downtime
- The same level of support for your own hardware, local VPS providers and international clouds
Backup and recovery
- We start with a list of business-critical systems and data, not "back up every disk"
- The 3-2-1 rule: three copies on two different media, one of them off-site
- An immutable copy that ransomware can't encrypt and an intruder with a stolen password can't delete
- A schedule matched to how fast data changes: database hourly, files daily, system image weekly
- A test restore every quarter: we actually bring a system back from backup and time it
- We set RTO and RPO: how many hours a system takes to come back, and how much data could be lost
Server infrastructure security
- Firewall and network segmentation: a server opens only the ports it needs, to the addresses that need them
- Automatic blocking of password guessing, and key-based sign-in instead of passwords wherever possible
- Tracking vulnerabilities in the OS and services; critical updates go in outside the planned window
- Encryption for remote access channels, backups and disks holding sensitive data
- Logs are stored away from the server, so whoever gains access to it can't wipe their tracks
- Incident response: isolating the affected machine, finding the entry point, restoring and closing the gap
Performance and infrastructure growth
- Finding bottlenecks under real load: disks, memory, network or a specific database query
- Tuning the OS and services for your workload instead of out-of-the-box defaults
- A capacity forecast a quarter ahead: when you'll need more storage, memory or a new server
- Advice on replacing ageing hardware before it starts to fail
- Up-to-date documentation: infrastructure map, access and procedures that don't depend on one person
- IT consulting and help planning the budget for hardware and licences
How we take your servers on
-
1
Introduction and NDA
We talk through your servers, workloads and pain points, and sign a non-disclosure agreement before we receive any access.
-
2
Inventory and audit
We document every server, role, service and how they connect, and check hardware health, updates, backups and security settings.
-
3
Monitoring goes live
We install agents, tune alert thresholds to your load and set up the notification route to the on-call engineer.
-
4
Fixing critical risks
We close the most dangerous audit findings first: missing security patches, ports exposed to the internet, missing or untested backups.
-
5
Maintenance routine
We agree on maintenance windows, the backup schedule, escalation contacts and the format of the monthly report.
-
6
Ongoing support and growth
24/7 monitoring and response, scheduled maintenance, a report on work done and recommendations for your infrastructure.
What 24/7 support means in practice
24/7 support isn't "you can message us at night". It's a system that spots the problem on its own, and an on-call engineer already working on it while you sleep.
- Alerts go to a queue, not to one person: if the engineer hasn't picked one up within 15 minutes, it escalates automatically
- Night calls follow a clear playbook: what to do with an unreachable server, when to wake your contact, when to roll back a change
- Every incident is documented: the cause, what was done and what changed so it won't happen again. These records make up the monthly report
- Scheduled work happens in a window agreed with you, not whenever suits us
- If a problem can't be solved remotely, an engineer can be on site anywhere in Kyiv within 2 hours
In-house admin or SYSADMINOFFICE support

|---|---|---|
| Detecting a failure | When users complain | Automatically, often before anyone notices |
| Nights, weekends, holidays | Unwatched, or for extra pay | An on-call engineer and a response within 15 minutes |
| Vacation or sick leave | Servers are left without an admin | The team covers for each other without gaps |
| Backups | Set up, but rarely checked | A timed test restore every quarter |
| Security updates | When there's time | On schedule, critical ones immediately |
| Infrastructure knowledge | In one person's head | Documented and handed over to you |
| Cost | Salary, taxes, training, replacement if they leave | A fixed monthly fee under contract |

Frequently asked questions
How much does server technical support cost?
It depends on the number of servers, their roles and the support format: a full 24/7 package or nights and weekends only. After a short look at your infrastructure we quote a fixed monthly price, with no extra charge per call-out.
How is technical support different from server administration?
Administration covers setup and changes: new servers, roles, access, updates. Technical support goes further, adding 24/7 monitoring, incident response, verified backups, security and reporting. In our package, administration is already part of support.
Which operating systems and platforms do you support?
All current versions of Windows Server, common Linux distributions (Debian, Ubuntu, CentOS, Rocky, AlmaLinux), virtualization platforms, and the services running on them: Active Directory, ERP systems, databases, mail and web servers.
Do you support cloud servers (VPS/VDS)?
Yes. We manage physical servers, VPS from local providers and instances in international clouds. The only difference is where the resources come from: monitoring, administration and backups are the same.
What happens if something fails at night or on a weekend?
The monitoring system alerts the on-call engineer automatically. Response time is within 15 minutes around the clock, and critical incidents get top priority. In the morning you receive a report on what happened, what was done and how to prevent it.
How often do you install updates?
Scheduled updates go in monthly, in a window agreed with you, after testing in a staging environment. Critical security fixes are applied as soon as they are released, so vulnerabilities aren't left open.
Do we need to give you server passwords?
We need administrative access to do the work. We create personal accounts for our engineers, keep access in a secure password manager, sign an NDA and are legally responsible for confidentiality.
How quickly can support start?
After the contract is signed we complete the inventory within 1–2 business days and connect monitoring straight away. The most critical risks are closed during the first week.
Can we get support for nights and weekends only?
Yes. Some clients keep their own admin during business hours and hand us nights, weekends, holidays and vacations. Monitoring still runs 24/7, and we respond outside your working hours. It costs noticeably less than the full package.
What if a server fails physically?
First we bring services back from backup on other hardware or in the cloud so the business keeps running, and only then deal with the hardware: a warranty replacement, your spare or a new one. That is why test restores are part of the regular work: this scenario has to be rehearsed before it is needed.
